Interview with Tamás Galvács HR manager of Shinwa Preciziós Kft. Galvács

KELIO: How did you find Kelio ?

TG: We met on LinkedIn. In January 2023, a project was launched at Shinwa Precíziós Kft., the aim of which was to introduce a new access control and time and attendance (T&A) system, in order to reduce administrative tasks, track real-time working time data, and simplify payroll preparation tasks, making them more accurate and efficient.

KELIO: What kind of challenges were you facingo on T&A and HR areas before you launched the project?

TG: Let me split my answer into two parts:

  • On the one hand, we did not have up-to-date, reportable working time data and real working hours could not be measured, including keeping the break times during the work. And without them, real productivity cannot be measured and this is perhaps the most important thing for a production company.
  • On the other hand, all the preparation processes related to payroll were done on a paper basis, which is not sustainable, efficient and contains many opportunities for errors.

KELIO: How could Kelio help in improving the efficiency of T&A and HR workflows?

TG: The T&A system made HR processes much more efficient. The management of schedules, the process of ordering overtime, requesting and approving absences has become faster and simpler. Prepared reports for payroll are available, which contain the employee’s real working time data, and this freed up many more working hours compared to the previous process.

KELIO: What kind of achievement did you reach since introducing Kelio in your companies e.g. saving time and cost, increased employee engagement etc?

TG: We started using Kelio in a pilot operation at the end of July 2023 and using the system live from September, at the same time we were able to completely eliminate the paper-based administration. By this alone, we were able to reduce costs significantly. Since the introduction of the system, we realized that employees strictly observe the break schedule and breaks during the day, the number of delays is negligible and if any, colleagues also work them in, which increases the number of hours actually worked on the production side.

KELIO: How can Kelio help in the area of employee customer experience?

TG: Employees had a hard time accepting the new system at the beginning, but this can usually be observed with the introduction of any new process. At the same time, the process of requesting absences has become much simpler for them, they can view their own working time data from home or on the phone, and with the chat function they can communicate with the HR department more quickly and not only during customer reception hours. 

The work of colleagues performing labor administration tasks in production was made significantly more efficient and simpler by the schedule planning function, real-time working time tracking and electronic absence requests.

KELIO: What kind of advices could you make to other companies having similar problems, challenges in the HR area and considering buying a new T&A / HR tool?

TG: Nowadays, efficient and fast administration is essential. For small or medium-sized HR departments, the reduction of administrative tasks provides an opportunity to devote more time to processes aimed at the development of employees. In my opinion, the introduction of a T&A / HR and access control system is an investment that pays off quickly based on the arguments listed earlier.

KELIO: How do you see your plan using Kelio and what kind of development would you expect from them?

TG: In the coming period, we would like to get to know more about Kelio’s electronic signature and document management module, with the introduction of this module we would be able to further reduce paper-based administration, speed up the signature process and simplify the significant January workload for HR.
